Terms of Service

1. Agreement to Terms

By accessing or using PropFlow AI ("the Service"), operated by PropFlow (Pty) Ltd ("we", "us", or "our"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these terms, you may not access the Service.

2. Description of Service

PropFlow AI is a cloud-based property management platform designed for South African rental agencies. The Service includes:

  • Property and portfolio management
  • Tenant and landlord relationship management
  • Lease administration and document management
  • Financial tracking and reporting
  • Maintenance request management
  • Communication tools and notifications
  • AI-powered features and automation

3. User Accounts

3.1 Registration

To use the Service, you must register for an account. You agree to provide accurate, current, and complete information during registration and to update such information to keep it accurate, current, and complete.

3.2 Account Security

You are responsible for safeguarding your account credentials and for any activities that occur under your account. You agree to notify us immediately of any unauthorized use of your account.

3.3 Account Types

The Service offers different account types including Agency Member, Tenant, and Landlord accounts. Each account type has different permissions and capabilities within the platform.

4. Subscription and Payments

4.1 Pricing

The Service operates on a per-unit pricing model. Current pricing is:

  • Residential units: R49 per unit per month
  • Commercial units: R99 per unit per month

Enterprise pricing is available for large agencies with custom requirements.

4.2 Billing

Billing is processed monthly in arrears based on the number of active units managed through the platform. All prices are in South African Rand (ZAR) and exclude VAT unless otherwise stated.

4.3 Payment Methods

We accept payments via EFT, debit order, and major credit cards through our secure payment partners.

5. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable laws
  • Upload false, misleading, or inaccurate information
  • Attempt to gain unauthorized access to any part of the Service
  • Interfere with or disrupt the Service or servers connected to the Service
  • Use automated means (bots, scrapers, etc.) to access the Service without permission
  • Transmit any malware, viruses, or harmful code
  • Harass, abuse, or harm other users of the Service

6. Data and Content

6.1 Your Data

You retain all rights to the data you upload to the Service. By using the Service, you grant us a limited license to store, process, and display your data solely for the purpose of providing the Service.

6.2 Data Protection

We comply with the Protection of Personal Information Act (POPIA) and implement appropriate technical and organizational measures to protect your data. See our Privacy Policy for more details.

6.3 Data Export

You may export your data at any time through the platform's export functionality. Upon termination, you have 30 days to export your data before it is deleted.

7. Intellectual Property

The Service and its original content, features, and functionality are owned by PropFlow (Pty) Ltd and are protected by international copyright, trademark, and other intellectual property laws.

8. Third-Party Services

The Service may integrate with third-party services such as payment gateways, email providers, and communication platforms. Your use of such services is subject to their respective terms and policies.

9. Disclaimer of Warranties

The Service is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not warrant that the Service will be uninterrupted, secure, or error-free.

10. Limitation of Liability

To the maximum extent permitted by law, PropFlow (Pty) Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.

11. Indemnification

You agree to indemnify and hold harmless PropFlow (Pty) Ltd from any claims, damages, or expenses arising from your use of the Service or violation of these Terms.

12. Termination

We may terminate or suspend your account at any time for violations of these Terms. You may cancel your account at any time through the account settings. Upon termination, your right to use the Service will immediately cease.

13. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or through the Service. Continued use after changes constitutes acceptance of the new Terms.

14. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes shall be subject to the exclusive jurisdiction of the courts of South Africa.
